Aflac Employee Experience.
The Challenge
Aflac, an insurance company with nearly 13,000 employees across the United States, goes above and beyond to show appreciation for its workforce. During the first week of May, they dedicate a special week to celebrating their employees, regardless of their location. The highlight of the week is a company-wide event filled with fun games, inspiring messages from their executive team, and exciting giveaways and prizes. This event serves as a refreshing break from the hustle and bustle of an everyday work schedule. Aflac ensures that all employees, including those working remotely, have the opportunity to be part of the end-of-week celebration. The experience is highly interactive, with employees being chosen from the audience to participate in game-show-style activities. The online and remote audiences were always a primary focus for this event. Aflac wanted to make event participation effortless, even for those watching from home.
The Process
PixelForge had the privilege of collaborating with the production and broadcast teams to seamlessly integrate Zoom meetings and webinars into every aspect of the event. Because our goal was to ensure that remote employees could enjoy the event in real-time and at the highest quality possible, we managed the transmission of the live-event broadcast and video conference links between multiple offices. One of the highlights of our role was facilitating gameplay for online employees. We smoothly coordinated virtual name drawing and connected remote contestants to the show via Zoom, allowing them to actively participate in the fun.
Additionally, we bridged multiple offices across the country, bringing contestants and hosts from different cities together to interact and play games, fostering a sense of unity within the company. Imagine a live sports television broadcast but with a twist. Back Nine Productions was responsible for producing the television broadcast using NEP TS2. Our interface made all the signals work seamlessly, resulting in a flawless viewing experience for the audience.

Conducting Zoom Webinars with 2,500 participants and stunning 1080p video quality.
Organizing three interactive watch parties featuring multiple cameras in various locations.
Streamlining fully-virtual games where the online audience could join in via Zoom.
The Results
The success of the event heavily relied on effective communication between teams. We closely collaborated with production teams in different cities, using Zoom as our platform for back-end communications. Our approach ensured that everyone remained synchronized throughout the event, resulting in a smooth and cohesive experience for both the participants and the viewers. It's important to note that although Back Nine Productions was responsible for producing the event and content, our role focused on managing the video conferencing and links between cities and the webcast for the online audience.
At the core of our responsibilities was balancing complex video and signal routing while providing a user-friendly experience for the audience at home. We wanted to create an environment where watching and participating in the games became effortless and enjoyable.
Our meticulous approach and creative methods helped us achieve impressive levels of engagement with Aflac's online audience through comments and chat. As a result, Aflac was so pleased with the success of the event that they have requested us to organize it again next year, ensuring the momentum we have built continues. Most importantly, the employees had a fantastic time and ended the week feeling appreciated and involved.
